Job Overview
The Real Estate Administrative Assistant provides critical administrative, operational, and office support to real estate agents, brokers, and clients. This role ensures smooth daily office operations, manages documentation, coordinates schedules, and delivers excellent client communication to maintain high transaction efficiency.
Key Responsibilities
Transaction & Document Support: Prepare, organize, and manage real estate documents, contracts, leases, and listing files.
Client & Communication Management: Serve as the primary point of contact for phone calls, inquiries, and emails from buyers, sellers, and vendors.
Listing & Marketing Assistance: Upload property listings to Multiple Listing Services (MLS) and online portals; coordinate photo shoots, property flyers, and signage.
Schedule & Operations Management: Coordinate property showings, open houses, inspections, and closing dates; manage team calendars.
Database & File Maintenance: Maintain client databases (CRM), update listing logs, and process transaction paperwork accurately.
Qualifications & Skills
Proven experience as an administrative assistant, ideally in real estate or property management.
Proficiency with real estate software (MLS, CRMs, e-signature tools like DocuSign) and Microsoft Office / Google Workspace.
Strong organizational skills, keen attention to detail, and excellent written and verbal communication.
