Project Coordinator - Media Production
We are looking for a highly organised, proactive Project Coordinator to join our media production team. This role sits at the centre of our day-to-day operations, coordinating between clients, our in-house creative team, freelancers, suppliers and accounts to ensure projects move smoothly from initial enquiry through production, delivery and invoicing.
The ideal candidate is an excellent communicator who can confidently handle multiple projects at once, understand client requirements, anticipate what information is missing, and make sure the right people are briefed and scheduled at the right time.
Key Responsibilities
Client Enquiries & Quotations
Manage incoming client enquiries across WhatsApp, email and phone.
Communicate professionally and promptly with both new and existing clients.
Ask the right questions to fully understand each project, including scope, deliverables, shoot dates, locations, timings, crew requirements, equipment, editing requirements, deadlines and usage requirements.
Gather all necessary information to enable the preparation of accurate quotations.
Follow up on quotations, project confirmations, schedules and outstanding client information.
Identify changes in scope and ensure these are communicated internally before additional work is undertaken.
Project Coordination
Coordinate projects from initial enquiry through to completion.
Maintain clear project schedules, timelines, briefs and internal communication.
Ensure confirmed projects are properly handed over to the relevant production and post-production team members.
Monitor project progress and ensure deadlines and agreed deliverables are being met.
Keep clients updated throughout the project where required.
Flag scheduling conflicts, delays, missing information or potential problems early.
Crew & Freelancer Coordination
Source and contact suitable freelancers when additional crew are required.
Check freelancer availability and communicate rates, timings and project requirements.
Prepare clear and comprehensive briefs for photographers, videographers, assistants, editors and other production crew.
Ensure freelancers understand the client's requirements, deliverables, call times, locations, dress codes and any confidentiality or content restrictions.
Maintain an organised database of trusted freelancers and suppliers.
In-House Team Management
Coordinate the workload and schedules of the in-house photography, video and post-production teams.
Allocate projects based on availability, skill set, deadlines and workload.
Maintain visibility across upcoming shoots, editing schedules and delivery deadlines.
Work closely with the team to ensure resources are being used efficiently and projects do not become overloaded or delayed.
On-Site Project Management.
Attend and manage selected productions, particularly larger or more complex projects.
Act as a key point of contact between the client, crew and internal team while on location.
Coordinate schedules, crew movements, deliverables and production requirements.
Help resolve issues quickly and professionally while keeping the production running according to schedule.
Ensure the team maintains professional standards when representing the company on client sites.
Project Completion & Accounts Handover
Confirm that all agreed deliverables have been completed and delivered.
Identify any additional services, overtime, extra deliverables or scope changes that need to be reflected in final billing.
Liaise with the Accounts team and provide a clear project handover for invoicing.
Ensure Accounts has the correct quotation, purchase order where applicable, client billing information and details of any approved additional charges.
Assist with resolving project-related questions that arise during the invoicing process.

Calm and solutions-focused when working under pressure.
Comfortable working both from the office and on location when required.
Able to take ownership of projects rather than waiting to be told every next step.
Experience in media production, photography, video, events, advertising or a creative agency environment is highly desirable.
The Role
This is not purely an administrative position. The Project Coordinator is expected to understand what is happening across the business, communicate effectively with clients and creatives, anticipate project requirements and take responsibility for keeping projects moving.
You will often be the link between what the client is asking for and what the production team needs to successfully deliver it.
The right person will be organised, resourceful, commercially aware and comfortable working in the fast-moving environment of a photography and video production company.
